Overview

Projects

The Projects module provides full project management with task boards, time tracking, milestones, Gantt timelines, and project templates. It is available on the concorbit (Starter) tier and above.

Key Concepts

  • Projects are top-level containers for tasks, milestones, and time entries

  • Tasks live inside a project and can be organised on a kanban board or viewed as a list

  • Milestones mark key dates and deliverables within a project

  • Time tracking logs hours against individual tasks by team member and date

  • Dependencies link tasks together (finish-to-start, start-to-start, finish-to-finish)

  • Templates let you save a project structure and reuse it for similar work

Creating a Project

  1. Navigate to Projects in the sidebar.

  2. Click New Project.

  3. Fill in the project details:

    • Name: A descriptive name for the project.

    • Description: Optional overview of the project scope and goals.

    • Status: Planning, Active, On Hold, Completed, or Cancelled.

    • Start date and Target date: The planned timeline.

    • Owner: The team member responsible for the project.

  4. Click Create.

Project Statuses

StatusDescription
PlanningThe project is being scoped and planned. Tasks can be added but work has not started.
ActiveThe project is underway. This is the default working state.
On HoldThe project is paused. Tasks remain but no active work is expected.
CompletedAll work is done. The project is archived for reference.
CancelledThe project has been abandoned.

Managing Tasks

Tasks are the individual work items within a project.

Creating a Task

  1. Open a project.

  2. Click Add Task or click the + button on a kanban column.

  3. Fill in the task details:

    • Title: What needs to be done.

    • Description: Optional details and context.

    • Status: Todo, In Progress, In Review, Done, or Cancelled.

    • Priority: Low, Medium, High, or Urgent.

    • Assignee: The team member responsible.

    • Due date: When the task should be completed.

    • Time estimate: Estimated hours to complete.

  4. Click Save.

Task Statuses

Kanban Board

The kanban board displays tasks as cards in columns by status. Drag tasks between columns to update their status. Each card shows the title, assignee, priority, and due date.

Task Checklists

Tasks can have checklists for breaking work into smaller steps:

  1. Open a task.

  2. In the Checklist section, add items.

  3. Tick items off as they are completed.

Checklist progress is shown on the task card in the kanban view.

Task Comments

Team members can add comments to tasks for discussion and status updates. Comments are threaded and show the author and timestamp.

Time Tracking

Log hours worked against tasks to track project effort:

  1. Open a task.

  2. In the Time section, click Log Time.

  3. Enter the hours, date, and optional notes.

  4. Click Save.

Time entries are aggregated at the project level to show total hours spent vs estimated.

Milestones

Milestones mark important dates and deliverables:

  1. Open a project.

  2. Navigate to the Milestones tab.

  3. Click Add Milestone.

  4. Enter the name and target date.

  5. Click Save.

Milestones appear on the Gantt timeline and can be used to group related tasks.

Task Dependencies

Link tasks to enforce ordering:

  • Finish-to-start: Task B cannot start until Task A is complete.

  • Start-to-start: Task B cannot start until Task A has started.

  • Finish-to-finish: Task B cannot finish until Task A is complete.

Dependencies are visualised on the Gantt timeline with connector lines between tasks.

My Tasks

The My Tasks view shows all tasks assigned to you across all projects. Access it from the sidebar under Projects. Each task shows its project, and the list is sorted by due date, giving you a single view of everything on your plate. You can also filter by status and priority.

Project Templates

Save a project as a template to reuse its structure:

  1. Open a project.

  2. Click Save as Template.

  3. The project structure (tasks, milestones, checklists) is saved without dates or assignees.

To create a project from a template:

  1. Click New Project.

  2. Select a template from the dropdown.

  3. The new project is created with all the template's tasks and milestones. Assign dates and team members as needed.

Canvas Panels

The Projects module provides these canvas panels for your workspace:

  • Project List: searchable list of all projects with status and progress

  • Project Detail: full project overview with progress bars and key dates

  • Task List: filterable task list across projects

  • Task Detail: full task view with checklists and comments

  • Task Board: kanban board by task status

  • Gantt Chart: timeline with milestones and dependencies

  • Team Workload: hours per team member

  • My Tasks: your tasks across all projects

Searching and Filtering

On the Projects page:

  • Search by project name or description.

  • Filter by status: All, Planning, Active, On Hold, In Review, Completed, Cancelled.
