Calendar & Appointments

The concorbit calendar lets you schedule appointments, define bookable appointment types with availability windows, and share public booking links so prospects and clients can self-schedule meetings.

Navigating to the Calendar

From the main sidebar, click CRM > Calendar. The calendar page opens in month view by default.

Calendar Views

Month View

The month view displays a traditional calendar grid with seven columns (Monday through Sunday) and up to six rows. Each day cell shows:

  • The day number (today is highlighted in your accent colour)

  • Up to three appointment blocks, colour-coded by appointment type

  • A "+N more" indicator if there are more than three appointments on a day

Click any day cell to open the "New Appointment" form with that date pre-selected.

Click an appointment block to open the appointment detail modal.

Week View

The week view shows seven day columns with hourly rows from 07:00 to 19:00. Each hour slot displays appointments scheduled at that time, with colour-coded blocks showing the time and title.

Click any hour slot to create a new appointment at that date and time.

Click an appointment block to open the appointment detail modal.

Switching Views

Use the Month / Week toggle buttons in the top-right corner to switch views.

Navigation

  • Click the left arrow to go to the previous month (or previous week in week view).

  • Click the right arrow to go to the next month (or next week).

  • Click Today to jump back to the current date.

The header displays the current date range:

  • Month view: "April 2026"

  • Week view: "07 Apr, 13 Apr 2026"

Creating an Appointment

From the Calendar

  1. Click on a day (month view) or an hour slot (week view). The "New Appointment" form opens as a modal.

  2. Fill in the form fields:

  1. Click Create to save the appointment.

The start and end times are pre-filled based on where you clicked. In month view, the default is a one-hour slot at 09:00. In week view, the default matches the hour slot you clicked with a one-hour duration.

From the Button

Click New Appointment in the top-right corner to open the form without a pre-selected time. The default is today at 09:00, 10:00.

Appointment Detail Modal

Click any appointment block on the calendar to open the detail modal. The modal shows:

  • Title in the header

  • Status badge (Scheduled, Completed, Cancelled)

  • Time: start and end times

  • Type: the appointment type name with its colour dot (if assigned)

  • Contact: the linked contact's name (if linked)

  • Assigned to: the team member

  • Location: the appointment location

  • Notes: any description or agenda

Actions

At the bottom of the detail modal, you can take the following actions (available when status is "Scheduled"):

  • Complete: marks the appointment as completed

  • Cancel: marks the appointment as cancelled

  • No Show: marks the appointment as a no-show (the contact did not attend)

  • Delete: permanently deletes the appointment (requires confirmation)

Appointment Types

Appointment types are templates that define the parameters for bookable meetings. They control duration, availability, location type, and generate shareable booking links.

Navigating to Appointment Types

Click the Types button on the calendar page, or go to CRM > Calendar > Types directly.

Creating an Appointment Type

  1. Click New Type on the Appointment Types page.

  2. Fill in the form:

Duration (mins)Length of the appointment in minutes. Min: 5, max: 480. Default: 30.
Buffer (mins between)Buffer time between appointments to avoid back-to-back bookings. Default: 0.
Location typeVideo call, Phone call, In person, or Custom
Available daysClick day buttons (Mon. Sun) to toggle availability. Default: Mon. Fri.
Start timeEarliest bookable slot each day. Default: 09:00.
End timeLatest bookable slot each day. Default: 17:00.
ColourChoose from 10 preset colours. The colour appears on calendar blocks.
  1. Click Create to save.

Managing Appointment Types

The appointment types page lists all types with:

  • Colour dot

  • Type name

  • Duration and buffer information

  • Location type

  • Number of appointments booked

Actions:

  • Copy Link: copies the public booking URL to your clipboard

  • Delete: permanently removes the appointment type (requires confirmation)

Booking URLs

Each appointment type generates a public booking URL in the format:

https://yourdomain.com/book/{tenant-slug}/{type-slug}

This URL can be shared with anyone. It does not require authentication.

Public Booking Page

When someone visits a booking URL, they see a clean, branded booking page with your tenant name and the appointment type details.

Booking Flow

The booking flow has three steps:

Step 1: Select a Date

A month calendar is displayed. The visitor clicks on an available date. Past dates are greyed out and cannot be selected. Navigation arrows allow moving between months.

Step 2: Select a Time

After choosing a date, available time slots are displayed. Slots are calculated based on the appointment type's duration, buffer time, and your availability settings. The visitor clicks a slot to select it.

Step 3: Confirm

The visitor enters:

  • Name: their full name

  • Email: their email address

They click Confirm to book the appointment.

After Booking

Once confirmed, a success message is displayed with the appointment details (date, time, duration). The appointment appears on your calendar automatically. If the booker's email matches an existing contact, the appointment is linked to that contact. If not, a new contact may be created.

Reminders

Appointment reminders are configured at the system level. When enabled, contacts linked to an appointment receive email reminders before the scheduled time. The reminder timing depends on your notification settings.

Linking Appointments to Contacts

Appointments can be linked to contacts:

  • When a contact books through the public booking page, the link is created automatically.

  • When creating an appointment manually, you can select a contact from the form (if the field is available).

  • Linked contacts appear in the appointment detail modal.

Rescheduling Appointments

To reschedule an appointment:

  1. Open the appointment detail modal by clicking the appointment block on the calendar.

  2. Note the current time.

  3. Delete the existing appointment or mark it as cancelled.

  4. Create a new appointment at the desired time.

Alternatively, if a contact needs to reschedule a booking, they can use the original booking link to book a new slot, and you can cancel the original from the calendar.

Cancelling Appointments

To cancel an appointment:

  1. Click the appointment block on the calendar to open the detail modal.

  2. Click Cancel.

  3. The appointment status changes to "Cancelled" and it remains visible on the calendar with the updated status.

To completely remove an appointment from the calendar, use the Delete button instead.

Availability Windows

Availability is configured per appointment type. Each type defines:

  • Available days: which days of the week bookings are allowed (e.g. Mon. Fri)

  • Start time: the earliest time slot available each day

  • End time: the latest time slot available each day

  • Buffer: minutes of padding between appointments

For example, an appointment type with:

  • Duration: 30 minutes

  • Buffer: 15 minutes

  • Start: 09:00, End: 17:00

  • Days: Mon. Fri

Would offer slots at 09:00, 09:45, 10:30, 11:15, 12:00, and so on, with no slots offered on weekends.

Slots that conflict with existing appointments on your calendar are automatically removed from the public booking page.

Tips

  • Use different appointment types with distinct colours to visually distinguish meeting types on your calendar.

  • Set buffer times to avoid scheduling fatigue and give yourself transition time.

  • Share booking links in email signatures, on your website, or in proposals to make scheduling effortless.

  • Use the week view for detailed daily planning and the month view for a broader overview.

  • Mark no-shows when contacts do not attend, this data can be useful for identifying unreliable leads.
