Timesheets
Timesheets are the staff-facing weekly view of every hour you've logged, across tickets, projects, and ad-hoc entries. Submit the week to your line manager, they review and approve, the hours feed payroll and billing downstream.
Your weekly timesheet
Each user has their own timesheet, accessed from Timesheets in the navigation. The default view shows the current week (Mon–Sun) with a row per day and columns per customer or project.
Every time entry you've created from a ticket, a project task, or a manual log shows up here automatically. You don't re-enter anything; the timesheet is a rollup.
What gets rolled up
Ticket time entries: every minute logged against any ticket (support or pro-services)
Project task time: time logged on project tasks via the task timer
Standalone entries: time you've logged directly on the timesheet itself (for meetings, admin, etc.)
All entries have start and end times; you can't log "2 hours yesterday" without a time range. This is deliberate: it keeps overtime detection and audit trails accurate.
Submitting
When the week ends, click Submit week. This:
Locks the week, so you can't retroactively edit entries for submitted weeks without a manager unlock
Sends a notification to your line manager
Moves the week into your "Pending approval" section
Line managers see submitted weeks in their own Approvals → Timesheets view.
Approval
Your line manager reviews the submitted week and either approves or rejects. If rejected, the week comes back with a comment: fix it and resubmit.
Approved weeks feed:
Payroll: hours are available for the monthly payroll export
Claims → Overtime detection: the overtime command picks up hours beyond your contracted weekly total
Billing: billable hours on pro-services tickets become charges on the next invoice run
Portal visibility
By default timesheet hours are staff-only. If a customer asks for a breakdown of hours spent, you can flip the Portal visibility toggle on individual time entries to show them in the client portal. Hidden entries never appear in customer-facing exports or invoices.
Who sees whose timesheet
Your own: always
Your direct reports: if you have
timesheets.view_reportspermissionAll staff: requires
timesheets.view_all(admin only)
Line managers can drill into any of their reports' weeks to see the underlying entries. HR can pull summary reports across the whole team.
Locking policy
Current week: fully editable
Previous week: editable until Tuesday evening, then locked
Submitted weeks: locked; manager must unlock to allow edits
Approved weeks: locked; admin must unlock (and the unlock is audited)
The cutoff times live in Settings → Timesheets if you need to adjust them.
