Creating Jobs

Creating jobs

Jobs are created from Jobs > New job. Every job needs a title and a priority; everything else is optional at creation time and can be filled in later.

Required fields

  • Title: a short description of the work (e.g. "Replace fused switch in kitchen")

  • Priority: low / medium / high / urgent. Colour-coded dots appear on the jobs list for quick scanning.

  • Job type: categorises the job. Selecting a type will pre-fill the priority from the type's default and flag the required skills for dispatcher visibility.

  • Customer: link the job to a company record. This enables customer history lookups, billing, and portal visibility.

  • Technician: assign immediately or leave unassigned for the dispatcher to allocate later. Skill-mismatch warnings are shown on assignment.

  • Scheduled start / end: the time window for the visit. Used by the dispatch board and for SLA calculations.

  • Job address: where the work happens. If no address is provided, the customer's default address is used at dispatch time.

Description and internal notes

Use the Description field for instructions that the technician should see on their mobile app (e.g. "Parking is around the back. Front door code: 1234"). Use Internal notes for dispatcher-only comments that shouldn't be visible on the engineer's device.

Job numbers

Every job gets a sequential job number (JOB-0001, JOB-0002, …) automatically on creation. Job numbers are unique per tenant and are the primary reference on invoices and customer communication.

What happens next

After creating a job:

  1. The job appears in Jobs > All jobs with status "Scheduled"

  2. If a technician was assigned, they can see it in their mobile app

  3. The dispatcher can change status, reassign, or reschedule from the job detail page

  4. Once work begins, the technician's actions (arrive, start, complete) drive the status forward
