Bookings
The Bookings module manages capacity-aware space hire: venues, the bookable resources within them (halls, courts, desk pools, classes), and the bookings made against them. It is available on the concorbit (base) tier and depends on the CRM module, because every booking is anchored to a CRM contact and bills to that contact's company.
It is distinct from the appointment scheduler. The scheduler books a single staff member for a one-to-one meeting; Bookings counts a party against a resource's concurrent capacity, so a 20-desk space or a 15-person class can take many overlapping bookings at once.
Key concepts
Venues are your own hireable locations. Availability is computed in the venue's timezone.
Resources are the bookable things inside a venue. Each has a concurrent capacity, opening hours, and a backing catalogue product that sets its price.
Availability windows are the weekly opening hours of a resource (multiple per day allowed for split shifts).
Blackouts are one-off closures (holidays, maintenance) that override the windows.
Bookings reserve a resource for a window, consuming
party_sizeunits of its capacity. A booking holds capacity from the moment it is requested, is charged when confirmed, and releases capacity when cancelled.Buffers add a gap before or after each booking; they shape when a resource can next be booked but do not consume capacity.
Setting up a venue and resource
Go to Clubs & venues in the sidebar, then Venues, then New venue. Give it a name and timezone.
Open Resources, then New resource. Choose its venue, capacity, billing unit (per hour, per slot, per day, or per person) and the catalogue item that prices it. A resource cannot be booked until it has a catalogue price and at least one availability window.
On the resource's edit page, add its availability windows (weekday and opening hours) and any blackouts.
Making a booking
Go to Clubs & venues, then New booking.
Pick the resource, the contact, the start and end, and the party size.
The live quote shows whether the window is bookable and the price. Click Create booking to hold the capacity (status Requested).
Open the booking and click Confirm and charge to raise the hire charge, or Cancel booking to release the capacity. A cancelled booking keeps its charge: the hire is not retroactively un-billed.
Billing
The price comes from the resource's backing catalogue product, snapshotted onto the booking at booking time, so later price changes never rewrite booked history. A booking whose contact belongs to a company bills through the normal billing run. A contact with no company cannot be billed in this phase, and confirming such a booking is refused rather than silently left un-billed.
