Agency & Multi-Tenant Management

The Agency tier unlocks concorbit's multi-tenant architecture, allowing agencies, MSPs, and consultancies to manage multiple client workspaces from a single parent account. This guide explains what the Agency tier provides, how pricing works, and how to navigate the partner dashboard.

What the Agency Tier Unlocks

Upgrading to the concorbit Agency tier gives your workspace access to everything in concorbit Pro plus:

Sub-tenant management: create and manage independent client workspaces (sub-tenants) from your parent account.
Switch-in access: log in to any sub-tenant's workspace with one click, without needing separate credentials.
White-label cascading: your brand settings (logo, colours, fonts) automatically cascade to sub-tenant portals, creating a seamless branded experience for your clients.
Wholesale billing: pay for your clients' workspaces at a wholesale rate and bill them however you like.
Direct billing option: alternatively, let concorbit bill your clients directly while you retain management access.
Aggregated metrics: view combined statistics across all sub-tenants from a single dashboard.
Automation module: workflow automation tools (Agency tier exclusive).
Analytics module: advanced reporting and analytics (Agency tier exclusive).
Advanced portal features: enhanced portal customisation options.

Pricing

Agency tier pricing has two components:

Per-User Cost

Each user seat on the Agency tier is priced per user, per month. The exact rate is shown on the Subscription page. All users in an Agency workspace are billed at the Agency seat rate.

Per-Sub-Tenant Surcharge

Each sub-tenant (client workspace) you create under the wholesale billing model incurs a flat monthly surcharge. This is billed per sub-tenant, per month, on top of your per-user costs.

Example cost breakdown:

5 users on Agency tier at per-seat rate       = seat total
3 sub-tenants (wholesale) at per-tenant rate  = tenant total

Monthly total                                 = combined total

Sub-tenants using the "direct" billing model (billed by concorbit directly) do not add to your bill.

The Partner Dashboard

Access the partner dashboard from:

Settings hub: click the Sub-tenants card at the bottom (requires partner.clients permission).
Direct URL: /clients

Dashboard Metrics

The top of the partner dashboard shows five aggregate statistics:

Metric	Description
Sub-tenants	Total number of client workspaces you manage.
Wholesale	Number of sub-tenants on the wholesale billing model, with the total monthly cost.
Direct	Number of sub-tenants billed directly by concorbit.
Your users	Number of users on your parent workspace, with the total monthly user cost.
Your total	Estimated total monthly bill combining user seats and wholesale sub-tenant charges.

Sub-Tenant List

Below the metrics, a table lists all your sub-tenants with:

Column	Description
Sub-tenant	Name and domain/slug of the client workspace.
Billing	Whether the sub-tenant is on Wholesale or Direct billing.
Users	Number of active users in the sub-tenant.
Status	Active or Suspended.
Created	When the sub-tenant was created.
Actions	Switch in, Edit, Suspend/Activate.

Permissions Required

To access agency features, a user's role must include the partner.clients permission. This permission:

Shows the "Sub-tenants" card in the Settings hub.
Grants access to the /clients pages (list, create, edit).
Allows switching into sub-tenant workspaces.

Only grant this permission to trusted team members, as switching into a sub-tenant gives full access to that client's data.

Getting Started with Agency

Upgrade to Agency tier from Settings > Subscription.
Set up your brand in Settings > Brand, your brand will cascade to sub-tenant portals by default.
Create your first sub-tenant: see Managing Sub-Tenants.
Configure modules: decide which modules your sub-tenants need access to.

Use Cases

Digital Agency Managing Client Websites and Marketing

An agency creates a sub-tenant for each client. Each client workspace has CRM for lead tracking, Email for campaigns, and Billing for invoicing. The agency's brand appears on all client portals, and the agency handles billing through the wholesale model, marking up the cost as part of their service fee.

MSP (Managed Service Provider)

An MSP creates a sub-tenant for each business they support. Each workspace uses Vault for password management, CRM for asset tracking, and Helpdesk for support tickets. The MSP switches into client workspaces to manage their IT infrastructure.

Accounting Firm

An accounting firm creates a sub-tenant for each client business. Each workspace uses Billing for invoice management and Vault for storing sensitive financial credentials. The firm uses direct billing so each client pays concorbit directly.

Franchise or Multi-Location Business

A parent company creates a sub-tenant for each location or franchise. All locations inherit the parent's brand for consistency. Each location manages its own contacts, invoices, and local operations independently.

Understanding the Parent-Child Relationship

Data Isolation

Each sub-tenant is a fully isolated workspace. The parent tenant and sub-tenants cannot see each other's data. Contacts, invoices, vault secrets, and all other records are completely separate.

The parent can only access sub-tenant data by explicitly switching into the sub-tenant's workspace.

User Isolation

Users are also isolated per tenant. A user account on the parent workspace is a separate identity from a user account on a sub-tenant. They can share the same email address (the same person can have accounts on both), but they are separate accounts with separate passwords, roles, and permissions.

Settings Isolation

Each sub-tenant has its own settings (workspace name, timezone, currency, SMTP, modules, roles, etc.). The only setting that cascades from parent to child by default is the brand, and even that can be overridden.

Billing Relationship

Wholesale sub-tenants are billed to the parent. The parent pays a flat per-sub-tenant rate.
Direct sub-tenants are billed independently by concorbit. They have their own subscription and payment method.

Limitations

Sub-tenants cannot create their own sub-tenants. Only the parent (Agency tier) tenant can create sub-tenants. The hierarchy is always exactly one level deep.
Module availability is constrained by the parent's tier. Sub-tenants can only use modules available on the Agency tier.
Ownership transfer of sub-tenants is not self-service. Contact concorbit support if you need to transfer a sub-tenant to a different parent or make it a standalone workspace.

Frequently Asked Questions

Can I convert an existing standalone workspace into a sub-tenant?

Contact concorbit support for workspace conversion. This is not currently a self-service operation.

Can a sub-tenant upgrade to Agency and create their own sub-tenants?

No. Only the top-level parent can create sub-tenants. The multi-tenant hierarchy is one level deep.

If I cancel my Agency subscription, what happens to my sub-tenants?

Wholesale-billed sub-tenants become inaccessible when the parent subscription ends. Direct-billed sub-tenants continue to function independently because they have their own concorbit subscription.

Can sub-tenant users see that they are a sub-tenant?

Sub-tenant users see their workspace as a normal concorbit workspace. There is no visible indication that it is managed by a parent agency, especially if you configure the sub-tenant's own brand.
